How is information held?

The data entered onto the website isn’t saved until the ‘Submit’ button is pressed. Only forms that have had all the mandatory fields completed and submitted are saved.

After you have submitted a referral, an email with the information you have submitted will be automatically generated and sent to our secure admin email address. This address will be attended by the clinician on duty to screen referrals on a daily basis during working hours.

The information generated by the referral is also saved into a database which resides on the website server. The website server is hosted in a Tier 1 UK based Data centre. The website server sits within a private network which is protected by a full managed CISCO firewall which can only be accessed by a 128 bit encrypted VPN (Virtual Private Network) connection. The Datacentre is Ofcom regulated on the G-Cloud government framework and carries ISO 27001, ISO 9001 and ISO 14001 British Standard certifications.

A record of your referral will be kept for the minimum of time required before it's deleted. The length of time we keep the information is in accordance with the Department of Health retention schedule requirements.

How we use your information

Patient and personal information submitted to us via this website will be used for the following purposes specified in this privacy policy.

  • Register a referral and create a referral document to CAEDS in SLaM electronic patient record system
  • Contact you or the patient (with their permission) with the provided contact information
  • Improve the content and design of the website


We will never share your information with other organisations for marketing, market research or commercial purposes. We don’t pass on your personal information to any other website.
